Managing Participants

How to add, import, and manage participants for an event.

This guide is for event managers and directors.

Participants are the players registered for an event. Every person who competes in an event needs a participant record.

Adding a participant manually

  1. Open the event detail page and go to the Participants tab (staff view).
  2. Tap Add Participant.
  3. Fill in the participant details:
    • Name — Full name
    • Email — Contact email
    • Phone — Optional contact number
    • Skill level — Self-reported or assigned skill rating
  4. Tap Save.

The participant is added to the event and can now be added to teams in competitions.

Importing participants via CSV

For larger events, you can bulk-import participants from a CSV file.

  1. From the Participants tab, tap Import.
  2. Download the CSV template to see the required column format.
  3. Fill in your participant data and save the file.
  4. Upload the CSV file.
  5. Review the import preview — the app shows you which rows will be created, which will be updated, and any rows with errors.
  6. Confirm to complete the import.

Expected CSV columns:

  • name (required)
  • email (required)
  • phone (optional)
  • skill (optional)

If a participant with the same email already exists in the event, the import will update their record rather than create a duplicate.

Linking DUPR profiles

DUPR is a global pickleball rating system. When a participant's DUPR profile is linked, their rating is visible alongside their name throughout the app.

To link a DUPR profile:

  1. Open the participant's detail page.
  2. Tap Link DUPR.
  3. Search for the player by name or DUPR ID.
  4. Confirm the match — the rating will appear immediately.

Participants without a DUPR link will show as unlinked. You can filter the participant list to see who still needs a DUPR link.

Managing check-in

On the day of the event, you can check participants in to confirm their attendance.

  • Toggle check-in status from the participant's detail page, or
  • Use the bulk check-in view from the Participants tab to quickly check in multiple players.

Checked-in status is visible to all event staff.

Editing and removing participants

  • Edit: Open the participant's detail page and tap Edit to update their info.
  • Remove: From the participant's detail page, tap Remove from Event. This also removes them from any teams they've been assigned to in competitions.

Syncing from a register listing

If the event is linked to a register listing, registrations from register.paddlesup.io don't automatically become event participants. Use the Sync Registrations queue from the Participants tab to add or remove participants one row at a time, with drift surfaced as a visual warning.

Guest participants

Participants can be marked as guests — players who are participating without a full Paddles Up account. Guest participants can be added by staff and assigned to teams, but they won't have a profile or login of their own.
